Tips for Creating an RFP for a Learning Management System (LMS)
An RFP, or a Request for Proposal, is an invitation for providers of learning management systems to bid a project. During the process of formulating an RFP, you likely will consider the objectives of how you want your LMS to function, what information you want to convey to your learners and how you wish to present the material, what type of reporting you need, and what type of vendor you want to work with during the process. A good practice is to create use cases within your organization of how you would expect to use the system. A good vendor can help refine, but knowing your objectives is the best first step.
Once you define the objectives, define the scope of the services you are requesting. Avoid being vague or imprecise, if you can help it. During the RFP, vendors will be evaluating their cost and product delivery responses based on what you request.
Ensure you mention with any system or software compatibility requirements. List any databases or software programs you will need to integrate with. It is helpful to describe any programs and their function, if they need to be integrated with the LMS.
Remember, time, quality, and cost are interrelated. If you have a tight deadline on your project, costs may rise and quality may not be the highest.
